Company Profile

Global publicly-listed manufacturer of paper and packaging solutions, a leading provider of corrugated, consumer, and specialty packaging serving major brands and manufacturers across food and beverage, consumer products, healthcare, and industrial markets. Tens of thousands of employees worldwide operating across multiple continents.

Challenge

AP team performing three-way matching by hand

The company’s AP team faced three-way matching every month. Team members compared physical invoices and supplier statements line by line, reconciled them against the ERP, reviewed debits, credits, and general ledger postings, and made the corrections needed before close. As a result, the work took too long and carried real error risk at month-end.

Leadership wanted a way to handle high transaction volumes at higher accuracy without piling more onto the AP team’s plate. However, scaling the existing approach meant either adding headcount or accepting slower closes and more rework.

Solution

Automated three-way matching with month-end posting

The company brought in an automated three-way matching workflow. The automation extracted details from the receipt of goods and the invoice using intelligent document processing, checked the values against the purchase order in SAP, and confirmed they fell within tolerance. If the invoice and PO reconciled cleanly, the automation then updated SAP and posted the entry to the general ledger.

Meanwhile, exceptions and partial matches routed to AP for manual review, and a status report at end of day flagged the cases that needed follow-up. As a result, the AP team kept oversight on the judgment-heavy work while the routine match-and-post volume moved through automatically.
