Company Profile
Publicly-listed global data center provider operating a worldwide network of carrier-neutral colocation, interconnection, and cloud-adjacent facilities across dozens of countries. Customers include hyperscalers, network carriers, financial exchanges, and large enterprises. Operationally complex at global scale with massive customer-interconnection volumes and continuous AI-ready capacity expansion.
Challenge
Aged POs distorted balance-sheet accruals
Aged purchase orders were quietly hurting the balance sheet. Our client, a publicly-listed global data center provider managing thousands of POs annually, struggled to close out completed orders against management SLAs. PO owners across the business kept slipping past their close-out deadlines, leaving stale commitments rolling forward as accruals.
The miss compounded. Every quarter, accruals reflected commitments that no longer existed, distorting balance-sheet snapshots and forcing finance to estimate around obligations that should have been closed. Leadership needed PO closure to scale with order volume without piling more administrative work on PO owners or growing the AP team.
Solution
Aged-PO closure automation across procure-to-pay
Our client engaged WonderBotz to leverage proprietary frameworks and rapidly assemble an aged-PO closure automation tied into procurement and ERP systems. The solution monitored aged POs, notified PO owners, and gave each a window to keep or release the order. If the owner didn’t respond, business rules closed the PO and posted accounting entries to the ERP automatically.
PO owners stayed on top of their management SLAs without piling tedious closure work into their day. Accruals tightened, aged-PO inventory dropped, and finance got cleaner balance-sheet snapshots quarter over quarter, plus a reporting view of aging that hadn’t been practical before.
As volumes grew, the same framework absorbed the load without adding headcount, giving the procure-to-pay team a foundation to extend automation into upstream PO creation and downstream invoice matching.
