Challenge
AP team rekeying more than half of invoices
Our client’s accounts payable team was carrying a heavy load. After early efforts to automate invoice processing, just over half of supplier invoices were still falling out of straight-through processing, so the team had to chase, validate, and re-key them by hand. Volume was the multiplier: 500,000 invoices a year from more than 100,000 suppliers, each with its own template and quirks.
The pressure was not just productivity. As a result, manual rework drove operating cost and SLA risk, and growing supplier counts meant the gap would widen unless the automation expanded to cover the remaining vendors.
Solution
Scaling WonderBotz's invoice automation across the supplier base
Our client subscribed to WonderBotz’s invoice automation solution (InvoiceBotz) to take straight-through processing across the remaining supplier base. Together with our experts, they identified more supplier templates by volume, region, and format, then retrained the extraction model on the expanded vendor mix and added validation rules so extracted data posted reliably into SAP/Ariba.
As a result, straight-through processing doubled from 40% to 92% and vendor coverage rose to 86%. In addition, accounts payable saved more than USD 250K annually in operating costs and was better able to meet internal and external service-level agreements. Going forward, the rule library scales with the supplier base, so new vendors can be onboarded without much manual effort.
