This healthcare organization’s patient payment posting process involved multiple steps, from reading identified payments to validating and posting them in the system. A key bottleneck was the manual extraction of payment information from checks, which slowed down the workflow and increased the risk of errors.

Custom Automation Solution
The WonderBotz Solution first retrieves identified payments from BrightTree via an Excel sheet. While extracting payment information from checks remains a manual step, the rest of the process is fully automated. The solution creates a new deposit for the day, generates receipts for all credit card transactions, and applies payments to invoices. If an overpayment is detected, the bot assigns the excess amount as an unapplied payment to the patient’s account.
Once all transactions are recorded, the bot validates that the receipt balance is zero before proceeding to the final posting stage. After successful posting, the bot automatically uploads the completed Excel input to OnBase, ensuring seamless record-keeping and compliance.
This solution processed 10,000 transactions per year with a 98% success rate. It also allowed for a 50-70% reduction in manual effort.
