Challenge

Resort group’s centralized payroll team struggled to process weekly payroll on time, forcing them to issue manual paychecks. Payroll failed for an employee who was assigned to the wrong GL department or if approved timesheet was missing. HQ team tried moving up the cutoff date but individual resorts could not complete timecard submission and sign-off in the new window. The situation was causing great stress for the payroll workers and resentment in the resorts. Management needed a reliable, stable payroll process.

Solution

WonderBotz team solved the challenge with a multi-pronged approach. First, we automated and added a ‘trial payroll’ that ran during the active period to give accounting more time to correct setup issues. Second, we added escalating alerts on late timecards directed to employees and managers. Lastly, payroll accuracy accountability was moved from HQ to the resort level, including chargebacks for manual checks. As a bonus, the approach identified employees working in multiple departments who would need to be paid overtime.
