Challenge

The client’s procurement team processes 10,000 changes and reviews for new and existing vendors each year. This process involved manually logging into the client’s work management portal and checking for new vendors. Each new vendor had to be set up in multiple applications, with different data points needing validation for compliance. The process was time-consuming and prone to data entry issues. The procurement team wanted to standardize the process, improve data quality and reduce the dependency on manual work.

Solution

The solution identifies and extracts vendor details from MARKET or by email for each vendor setup request and checks for duplicate records in SAP. The automation then validates the tax ID through the IRS or VIES and performs additional risk assessment checks and validations. Once everything is complete, the automation sets up the new vendor record in MARKET and SAP and alerts the procurement team to any exceptions. Associates can also submit change requests for existing vendor records in SAP.
