The procurement team is responsible for tracking their regular compliance meetings and tasks in a separate application to ensure government standards are followed. It was a redundant process that required the creation of thousands of monthly recurring meetings needing inputs from multiple users. The volume of meetings resulted in delays which increased the risk of non-compliance. Leadership wanted to streamline the process to reduce resource dependencies and avoid penalties for failure to report.


Each day the automation checks email for a list of meetings and tasks to be created in the QA system. It uses business logic to record and notify the implementation team when new meetings and tasks are set up. The solution also reviews meeting records to confirm that the meetings took place and can be marked as completed. For meetings that did not occur, the automation updates the meeting as canceled and notifies the team to reschedule if necessary.
